New/Updated Policies on Data Standards for Ministry Platform
Active vs Inactive and Campus
ACTIVE is typically someone who attends a campus
INACTIVE is typically someone who did attend a campus but no longer does.
- When someone donates or participates in a virtual small group or lives in the area only part of the year – they are still considered Active.
- Miscellaneous campus can be used for people who don’t attend weekend services but engage in some other capacity, such as the Imagine Conference or The Well. For Kid’s GiG we change their campus from Misc to whichever campus they attended, but we mark their participant status as Non-Prospect.
GUEST vs MINOR Child
When a guest or minor child is requested to be removed from the household he/she attended with (request by the head of household or the minor), create the child into their own household as the head, save, then go back in and change them to Minor Child. If the child is no longer attending, mark them Inactive.
TEEN Head of Household
When teens sign up for their own NW/MP account, they are made head of household. Go back into the record and change that to Minor Child. If a teen begins tithing on their own and wants finance statements separate from the parents, make a new record with the teen as head of household, save, then go back in to adjust to minor child. A relationship can be created to link to the parent’s household.
DUPLICATE Records
The minimum match criteria for merging duplicate records is two of the following (in addition to name): DOB, mobile phone, email address. If you are confident this is the same person, you can proceed without two pieces of criteria.
RELATIONSHIPS
Two adults can be in a household without assigning a relationship. There is a whole list of relationships to pick from, such as a step child of a step father, dating, etc. In their profile, go to the Relationships tab: aunt/uncle, coworker, divorced from, engaged to, legal guardian of, etc.
OTHER/FORMER HOUSEHOLDS
If an other/former household is needed for purposes other than “shows at check-in”, contact MPsupport.
CONTACT STATUS– Options: Active, Inactive, Deceased, Homebound, Mailing List, Temporarily Away. Any questions, contact MPsupport.
PARTICIPANT TYPE– Options: Temp Participant Type, Member, Child of Member/ Reg Attender, Former Member, Designated Giver, Non-Prospect, Regular Attender, Visitor. Any questions, contact MPsupport.
MINOR vs ADULT CHILD—
The “Minor Child” designation remains until the child is 21.
ADULT CHILD moves to own HOUSEHOLD—
The “Adult Child,” at 21 and older, gets moved to his/her own household as the Head, with the address of their parent (if they still live at home, or we don’t receive an updated address)
Additional Topics:
A FOSTER CHILDREN household exists where minor children are moved to when the foster family requests the child be removed from their household.
Marking a record as Unsubscribe in MP doesn’t automatically update communication lists outside of MP. Tell Creative team to remove that person from campus emails.
If someone is assigned to misc campus but has activity at one campus, they should be designated to that campus.
Parent email/phone should never be duplicated on the minor child’s record.
